The Marketing & Events Coordinator is responsible for supporting the planning, coordination, and execution of trade shows, commercial events, and travel logistics that support business development and cross-functional team efficiency. This role focuses on tracking internal timelines, maintaining routine vendor communication, logging budget expenses, and providing logistical support for team travel and event materials preparation.
Collaborate closely with the Marketing team to ensure that event operational elements align with brand guidelines, content, and attendee experience.
Junior
- Education: Bachelor’s degree in Marketing, Communications, or a related field.
- Experience: at least 1 to 2 years in a similar role.
- Willingness and ability to travel domestically and internationally as needed to support trade shows, customer events, and company meetings.
Knowledge required
- Strong project management and organizational skills with the ability to track multiple timelines, follow up with stakeholders, and organize priorities effectively.
- Strong verbal and written English communication skills with the ability to collaborate effectively with US-based teams, external vendors, and international stakeholders.
- Experience coordinating trade shows, conferences, corporate events, and commercial meetings within a B2B environment.
- Experience assisting with event logistics such as vendor coordination, booth operations, freight shipments, registrations, travel arrangements, and on-site execution.
- Ability to track event expenses, process invoices, and monitor spending against the allocated budget.
- Proficiency with project management and collaboration tools (e.g., Asana or similar platform).
- Comfortable working within marketing and communication platforms such as HubSpot, or similar CRM tools to support event-related emails, newsletters, attendee communications, and registration coordination.
- Strong Microsoft Office skills, particularly Excel, PowerPoint, Outlook, and Teams.
- Comfortable supporting live events, including travel, setup, shipment coordination, troubleshooting, and hands-on event execution when required.
Key activities and general responsibilities
- Coordination for trade show and event logistics, driving communication and follow-through across internal teams and external vendors.
- Help coordinate booth logistics, vendor management, registrations, shipping schedules, and all operational event requirements.
- Support internal Commercial events, customer meetings, summits, and regional team gatherings.
- Coordinate product samples, marketing materials, and event inventory with Commercial teams, warehouses, and external partners.
- Coordinate travel logistics and itineraries for internal teams attending trade shows, customer meetings, and commercial events.
- Provide on-site support for trade shows and events, including setup, dismantling, troubleshooting, shipment coordination, and live event execution.
- Collaborate closely with the Marketing & Communications team to align event execution with branding, creative assets, and attendee experience.
- Support the coordination and production of trade show materials, presentations, brochures, signage, and digital event assets.
- Maintain organized event documentation, schedules, checklists, budgets, and reporting processes.
